Your Docnote self-service guide.
How Do I View a Refund Request?
With Docnote, the patient has the option to request a refund directly from the office. This allows for a streamlined process where patients can initiate a refund request, and the office can review and process it accordingly.

The office has 30 days from the date of payment to issue a refund. After this period, the refund request will no longer be visible on the patient’s account, and the request may not be eligible for processing. This 30-day timeframe ensures that both the office and the patient can address any payment issues promptly.

  1. The patient will initiate the refund. Under Payment Details, the patient will select Request Refund

  1. A pop up will appear asking the patient to Please select a reason for refund. The request status will update to Refund Requested.

  1. Once submitted, the staff members assigned to the request  will receive a notification that the patient requested a refund. They wil also receive an email notification.

  1. The office is able to see the updated status to Refund Requested on the Dashboard.

  1. By clicking on the Refund Requested button.

  1. A pop-up will display the details of the refund request, allowing the office to approve or deny it. The reason for the refund will be shown under "Provided Reason." If the request is denied, additional notes can be added for the patient. Please note that once a request is denied or approved, this action cannot be undone.
