How to Issue a Refund in Office?
This situation typically happens when there is an internal office error, and the patient has not initiated a refund request.
  1. This situation usually arises when there is an internal office error and the patient has not requested the refund themselves. In these cases, the office has a window of 30 days to process the refund. If the refund is not issued within this timeframe, it may not be possible to proceed with the refund as per the office's policies.

 

 

  1. To begin issuing a refund, select “Payment Info” at the top of the request, then click on “Refund Payment.”

  1. Once you click "Refund Payment," a pop-up will appear asking you to either "Confirm" or "Cancel" the refund. If you choose to confirm, the process will proceed, and the refund will be initiated accordingly. If you decide not to proceed, you can simply select "Cancel" to halt the refund request.

 

  1. Once the refund is confirmed, the Payment Info tab will update to indicate that the payment has been refunded to the patient. This will reflect the change in the patient's payment status, ensuring the record is accurate and up to date.

 

  1. You will notice that the refund is noted in the Timeline tab for your reference.
